I am requesting permission to immediately hire one (1) temporary full-time employee in Project Development – Purchasing Department. Lack of manpower is preventing this department from accomplishing goals. Although, I currently have the same number of employee’s workloads have increased significantly. Other departments are complaining about the lack of completing and tracking projects and processing invoices in a timely manner. Having an additional employee will enable this department to complete projects needed to meet our client and contract requirements throughout the entire corporation. Update internal databases with order details (dates, vendors, quantities, discounts). Follow up with suppliers, as needed, to confirm or change orders. Liaise with warehouse staff to ensure all products arrive in good condition an installed as required. This aspect is crucial to deadlines.
For a current staff of three (2-purchasing coordinators and 1-director) our department budget totals $170K. Adding a temporary purchasing assistant at $15.00 per hour for 6 months will cost an additional $15,000 for a total of $185K. Having an additional temporary staff allows this department to work effectively with others throughout the corporation by providing support in choosing an overseeing all fixed assets purchased. Safeguarding contract requirements are meet and maintained. Keeping intact our LSS quality of measures for excellence featured in furniture, fixture and equipment purchases. By assessing daily requisitions consistently working with all facilities throughout the corporation. This is the only department that handles procuring fixed assets for all entities of the corporation. This department accomplishes an overall annual savings of $500K per year and with an additional employee we can accomplish another $250K.
Requests for an additional employee has been requested multiple times over the last 15 months. Lack of manpower has significantly affected our department working overtime and weekends on months on end in order to meet crucial deadlines. Temporary employee is needed as soon as possible. It is taking this department 3-6 months to close out projects which will only get worse if we don’t act now.
The Startup and Execution Department has consistently exceeded goals throughout the years $500K for on cost plus project alone thanks to our highly ambitious employees. However, we can’t expect them to keep working 12-hour shifts and weekends. They might quit and take jobs with our competitors if we don’t hire another person soon.
